A WhatsApp CRM is a shared inbox on top of your clinic’s WhatsApp number. It gives every enquiry an owner, a status and a record of what was said, so a lead no longer lives in one person’s phone. A clinic needs one when more than one person replies, when enquiries sit for days, or when nobody can say how many chats became appointments.
Does your clinic need a WhatsApp CRM?
Here is a worked example with illustrative numbers. A dental clinic gets about 40 new WhatsApp enquiries a week on one phone. Three staff use it. On Monday, Siti answers a patient asking about aligners and says the dentist will call. On Wednesday the patient writes again, and Hafiz, who has not seen Monday’s chat, asks the same opening questions. The patient replies “never mind”.
Nobody was careless. The phone did not show who owned the enquiry or what had been promised. Now count the cost. Say 40 enquiries a week produce 10 consultations, and 4 of the 30 that fall away do so because of a dropped handoff like this one. That is 4 consultations a week, or about 16 a month, that your marketing paid for and your phone lost. Multiply 16 by what a consultation is worth to you, and you have the monthly cost. No report shows it, because the lost chats never reach one.
A CRM does not make staff better. It makes the dropped handoff visible and harder to cause.
What are the three layers: Business app, Business Platform and a CRM?
People say “WhatsApp CRM” for three different things. Separate them before you compare providers.
| Layer | What it is | Good for | Breaks when |
|---|---|---|---|
| WhatsApp Business app | Meta’s app for small businesses who personally manage conversations with customers | One or two people replying by hand | A third person joins, or a lead is missed |
| WhatsApp Business Platform (API) | Meta’s product for medium to large businesses communicating at scale through programmatic access | Connecting software, automation, many staff | Nothing is built on it, so your team has no screen to work in |
| CRM on top | Software that uses the Platform to give you an inbox, lead stages, notes and reports | Running follow-up as a process | It is not connected to your diary or you never set stages |
Meta describes the Platform as programmatic access, so the inbox, the stages and the notes come from software built on top of it, whether that is a CRM or a custom build. For the Meta rules that affect clinics (the 24-hour service window, templates, opt-in, charges), see the pillar guide on WhatsApp chatbots for clinics.
What does a clinic need from a WhatsApp CRM?
Start with the record, not the features. Every lead should have these 7 fields.
| Field | Why you need it |
|---|---|
| Patient name and WhatsApp number | So the chat is tied to a person, not a phone |
| Treatment of interest | So the right person follows up |
| Source of the enquiry (Google, Meta ad, referral, walk-in) | So you can judge your marketing by patients, not clicks |
| Owner (a named staff member) | So nobody assumes someone else replied |
| Stage: new, contacted, booked, attended, not now | So you can see where leads stall |
| Time of first reply | So you can measure speed |
| Notes: what was promised and when | So the next person does not start again |
Then check the working features:
- Shared inbox. Several staff reply from one place, and each reply shows who sent it.
- Assignment. A new chat goes to a named owner, not “the front desk”.
- Quick replies. Saved answers for opening hours, location and what to bring.
- Reminders for your team. A nudge when a lead has been waiting too long.
- Templates for patients. Approved messages for reminders and follow-ups outside the 24-hour window.
- Export. You can take your data and its history with you.
What should an online booking system do?
An online booking system is the tool that lets a patient pick an appointment time without phoning. For a clinic, use this checklist.
- Shows real open slots from your diary, not a request form your team has to answer.
- Lets the patient choose a doctor or treatment where that matters.
- Sends a confirmation straight away and a reminder before the visit.
- Lets staff move, cancel or rebook in a few taps.
- Records the source of every booking.
- Connects to the WhatsApp chat, so a conversation can end in a booking link and the booking appears in the patient’s record.
- Holds the patient’s data with care. Patient details are sensitive, so ask where they are stored and who can read them.
The source field is the one clinics forget. Without it you know how many people booked, but not which marketing paid for them. The guide on reducing no-shows shows why the reminder step also earns its place.
How do you set up stages so leads stop stalling?
A stage is only useful if it has an owner and a time limit. Use this as a starting point and adjust to your clinic.
| Stage | Meaning | Owner | Move on or chase within |
|---|---|---|---|
| New | Patient has written, nobody has replied | Whoever is on shift | Minutes |
| Contacted | A person has replied and asked questions | Named front desk owner | Same day |
| Booked | A date is in the diary | Front desk | Reminder schedule starts |
| Attended | Patient came | Clinic | Record outcome |
| Not now | Patient is not ready | Named owner | Follow-up date set |
The “not now” stage matters. Some enquiries that do not book on the first day are waiting, not lost. Give each one a date to come back, and the weekly list does the rest. The follow-up schedule in lead response time shows what to send at each step.
How do you choose without a vendor ranking?
Ranking vendors is the wrong exercise for a clinic. The useful one is to ask every provider the same questions and compare the answers.
- Do you connect through the official WhatsApp Business Platform?
- What exactly do I pay, in software fees and in Meta’s per-message charges?
- Can my 3 front desk staff and my doctors each have their own login?
- Does the lead record carry the source, the stage, and the time of first reply?
- Can it connect to my clinic management system or diary, or does my team type bookings twice?
- Where is patient data stored, and who on your side can read it?
- What happens to my data and history if I leave?
- Can I see a report of enquiries, appointments and attendance without building it myself?
If a provider cannot answer 1, 6 and 7 plainly, move on.
How can you move off a shared phone in one week?
You do not need a long project. Day 1: list the 4 or 5 questions patients ask most and write the replies. Day 2: choose the owner for each stage and agree the time limits. Day 3: set up the CRM and log in every staff member. Day 4: connect your WhatsApp number, following your provider’s steps. Day 5: tell the team the one rule, which is that no chat stays in “new” past the time limit. In week 2, review the first-reply times and see where leads stalled.
If you want the inbox, booking and reporting handled as one system, HPA’s booking system covers the enquiry-to-appointment step.
